Incompletes
The policy on incomplete grades is designed to provide fair and equitable guidelines for managing temporary grades assigned when students face unforeseen circumstances that prevent timely completion of coursework. An "Incomplete Grade" ("I") is a provisional grade given when students cannot finish their course requirements due to extenuating circumstances beyond their control, such as illness or family emergencies. To be eligible for an incomplete grade, students must have completed at least 50% of their coursework and be in good academic standing, typically with a grade of 70% or above. They must also provide documentation of their circumstances. The assignment of an incomplete grade is at the instructor's discretion, who will evaluate the request and determine the terms for completing the remaining coursework.
Students must request an incomplete grade at least 30 days before the end of the academic term by submitting an Incomplete Grade Request Form along with the necessary documentation. The instructor will review this request, notify the student of their decision in writing, and establish an Incomplete Grade Agreement form detailing the remaining coursework, deadlines, and other conditions. This agreement must be signed by both parties and submitted to the Chief Academic Officer and Registrar’s Office.
The remaining coursework must be completed within 14 days after the semester ends. The student is responsible for submitting this work by the agreed deadline. After evaluating the completed work, the instructor will submit a grade change form to the Registrar’s Office to replace the incomplete grade with the final grade. If the coursework is not completed on time, the incomplete grade will convert to a predetermined grade, often an "F" or a grade based on the completed coursework. The Registrar’s Office will maintain records of incomplete grade agreements and final grades, which will be reflected in the student’s academic record.
